From first call to ongoing governance.
A defined process with clear decision points. You decide whether to continue after each stage. No long-term commitment is required to start.
Six stages. Each one is a decision point.
Nothing later is assumed until the stage before it supports moving forward.
Free Consultation
A 20-minute call to understand your business, confirm whether the Checkup is a good fit, identify what data and systems are available, and explain the process. No long technical workshop during this call.
Technology Cost and Automation Checkup
We collect approved data, review your software subscriptions, vendor agreements, cloud services, recurring reports, and manual processes. Every finding gets a dollar value, a time value, or a stated rationale. You receive written, prioritized recommendations.
Review Findings and Choose Next Steps
After the Checkup, you decide what to act on. You may implement recommendations internally, engage Data To Insight for selected work, defer lower-priority items, or continue with monthly governance only. No obligation to purchase anything further.
Implementation
Approved work is executed: cancelling unused software, right-sizing cloud resources, automating recurring reports, or other selected improvements. Each project is scoped and priced based on the specific work involved.
Verification
After implementation, we measure the actual results: costs removed, costs avoided, employee hours returned, processes automated, and recommendations completed. Savings are verified against the original findings.
Ongoing Technology Cost Governance
Monthly monitoring to ensure improvements stay in place. Covers software licenses, renewals, cloud costs, AI spending, automation health, and implemented savings. Prevents waste from quietly returning.
The two main implementation services.
Reporting Automation
Replaces repetitive manual report assembly with reliable, monitored workflows. The result is the same report — produced automatically, on schedule, with error handling and delivery built in.
Priced from $2,800 per automated report. Scope depends on data sources, frequency, and complexity.
Reporting Automation detailsSoftware Spend Recovery
Executes approved cost reduction recommendations from the Checkup. Cancels unused software, right-sizes cloud resources, consolidates overlapping tools. All material changes require your approval.
Pricing depends on the number of vendors, systems, contracts, cloud accounts, and implementation actions involved.

What does the free consultation cover?
A 20-minute call to understand your software spending, cloud usage, and reporting overhead — and to confirm whether the Checkup is a good fit. We explain what we review, what you receive, and how long it takes. No technical discovery or data collection happens during this call.
What do I need to prepare for the Checkup?
Typically: access to recent software invoices or a spend summary, a list of cloud accounts and approximate usage, and a description of recurring reports your team produces. We guide you through data collection at the start of the Checkup — you do not need to organize everything in advance.
Can I implement the Checkup findings myself?
Yes. The findings and action plan are yours. There is no obligation to engage Data To Insight for implementation. Some clients take the findings internally; others engage us for specific items while handling others themselves.
How long does implementation take?
It varies by scope. Cancelling unused subscriptions or right-sizing a cloud account can be done in days once approved. Automating a complex reporting workflow may take two to six weeks. Each project is scoped individually after the Checkup.
Is Technology Cost Governance a long-term contract?
No. The service can be ended with 30 days' notice. There is no long-term contract required. Most clients continue because the monthly monitoring prevents savings from being eroded — the service pays for itself in avoided renewals and drift.
What types of businesses is this designed for?
U.S.-based professional-service businesses with approximately 15–100 employees: accounting firms, healthcare practices, law firms, insurance and financial services, property management companies, and similar organizations with significant monthly software spending and recurring reporting overhead.
