Execute the savings your Checkup identified.
The Technology Cost and Automation Checkup finds what to cancel, renegotiate, and right-size. Software Spend Recovery does the work: coordinating with vendors, executing approved changes, and verifying that the savings actually show up.
The Checkup inspects. Spend Recovery executes.
They work in sequence, not in parallel. The Checkup is always first — it produces the findings that Spend Recovery acts on.
- Inspect every subscription, contract, and cloud account
- Quantify the financial and time value of each finding
- Prioritize actions by opportunity and effort
- Deliver a written report — implementation is your decision
- Execute the approved actions from the Checkup findings
- Coordinate with vendors on your behalf, with your authorization
- Track every change made and its expected saving
- Verify savings once they appear in updated billing
Who this is for.
Software Spend Recovery is most useful when the Checkup has already produced a prioritized list of approved actions and you want someone else to handle the coordination and follow-through.
You have Checkup findings and don't have time to execute them.
Coordinating cancellations, renegotiations, and license changes across multiple vendors takes weeks. This service handles that coordination.
Renewals are coming up and you want to act before they auto-renew.
Renegotiation windows close quickly. If a contract is renewing in the next 60-90 days, the time to act is now, not after it auto-renews at the same rate.
Your team has approved the changes but no one owns executing them.
The decision has been made. The bottleneck is follow-through — vendor calls, portal changes, confirmation emails, updated records.
Signs this service makes sense.
- Subscriptions identified in the Checkup are still active months later
- A contract renewed automatically at the old rate while renegotiation was being planned
- Cloud resources identified as oversized haven't been resized yet
- No one owns updating the subscription inventory as changes are made
- Renewal dates are tracked in a spreadsheet no one actively watches
- You approved cost-reduction actions but the execution has stalled
The gap between identifying savings and realizing them is common. The Checkup finds them — this service closes that gap.
What this service includes.
The exact scope depends on what your Checkup found. Common actions across engagements include:
- Coordinating cancellations of unused or redundant subscriptions
- Reducing or consolidating unused license seats
- Consolidating overlapping tools to a single platform
- Right-sizing cloud resources to match actual usage
- Supporting renegotiations ahead of upcoming renewals
- Establishing or updating renewal ownership records
- Creating a current subscription inventory
- Setting up cost alerts on cloud accounts
- Tracking each action taken and its expected monthly saving
- Verifying savings once updated billing is available
- Documenting any action that could not be completed and why
- Providing a final summary of realized versus unrealized savings
What this service does not include.
- Identifying new savings opportunities — that is the Checkup
- Canceling or modifying any contract without your written authorization
- Guaranteeing that a vendor will allow early cancellation or a refund
- Legal advice or contract dispute representation
- Ongoing monthly governance — that is Technology Cost Governance
- Reporting automation or private AI implementation
Every action requires your written authorization before it is executed. Vendor policies on early cancellation and refunds vary — we review what each contract allows before recommending any action, and we tell you honestly what is achievable.
Implementation process.
Each step is a decision point. Nothing is executed without your approval.
Review Checkup findings
We go through your Checkup report and identify which actions are ready to execute, which need more information, and which depend on an upcoming renewal date.
Authorization and approval
We present each planned action with its expected saving and risk. You approve, modify, or reject each item. Nothing proceeds without your sign-off.
Execute approved changes
We coordinate with vendors, make the approved account changes, and document every action taken, including cases where a vendor's policy blocked an expected change.
Verify savings
Once updated billing is available, we confirm that the expected saving appeared. You receive a final summary of realized savings and any that could not be achieved.
How pricing works.
Pricing depends on the number of vendors, systems, contracts, cloud accounts, and implementation actions involved. A single-vendor cancellation and a multi-vendor renegotiation-and-right-sizing engagement are different in scope and effort.
After reviewing your Checkup findings, we provide a written scope and fee before any work begins. You are not committed to the engagement until you approve the scope in writing.
There is no hourly billing. The fee covers the agreed scope of actions. If additional actions are identified after the engagement begins and you want to include them, they are added to the scope with your approval before proceeding.
Expected client participation.
- Provide or facilitate access to billing portals and vendor accounts
- Review and approve each planned action before it is executed
- Handle vendor calls or sign contract amendments when the vendor requires the account holder directly — we coordinate and prepare you for these
- Confirm access changes once they are made
- Review the final savings summary
- No action is executed without written approval from your side
- You can pause or stop the engagement at any point
- We review vendor contract terms before recommending an action — we will not recommend changes that are not permitted under the contract
- If a vendor's policy makes a change impossible, that is documented and explained, not billed for
Frequently asked questions.
Is this the same as the Technology Cost and Automation Checkup?
No. The Checkup inspects your software, cloud, and vendor spend, then delivers a prioritized list of what to cancel, renegotiate, or right-size. Software Spend Recovery is what happens next: it executes the approved actions from that list, tracks the changes made, and verifies the savings once they show up in your billing. The two services do different things and are scoped separately.
What does 'client authorization required' mean in practice?
Before any cancellation, renegotiation, or account change is executed, we present the specific action and its expected impact and ask for written approval. Nothing is changed without that approval. You can approve all recommended actions, a subset of them, or none — the choice is always yours.
Will every vendor allow early cancellation or a mid-term refund?
Not necessarily. Vendor policies vary widely. Annual contracts may not permit early exit, and refunds for unused prepaid periods depend on the individual vendor's terms. We review what each contract allows before recommending any action, and we will tell you honestly what is and is not achievable before you approve anything.
How is pricing determined?
Pricing depends on the number of vendors, systems, contracts, cloud accounts, and implementation actions involved. After reviewing your Checkup findings, we provide a written scope and fee before any work begins. You are not committed until you approve the scope.
Do I need to have completed the Checkup first?
In most cases, yes. The Checkup identifies and prioritizes what to act on, which makes Software Spend Recovery significantly more efficient. If you have a recent internal audit or a clear list of changes you want to make, contact us to discuss whether a full Checkup is still needed first.
What happens if a saving can't be realized?
If a vendor doesn't allow the change we expected, or if a cancellation window has already passed, we document that finding and its reason. You receive an honest account of what was achieved, what was attempted but blocked, and why — so you can plan renewals and renegotiations differently next time.
