Monthly recurring · Starting at $750/month

Keep the savings you've already found.

Technology Cost Governance is a monthly service that reviews your software licenses, cloud spend, AI usage, upcoming renewals, and automation health — so costs don't quietly creep back to where they were.

Best fit

Who this service is for.

Technology Cost Governance is built for businesses that have already taken a hard look at their technology spend and want to make sure the savings hold.

01

You've completed a Checkup or a Software Spend Recovery engagement.

You found real savings. Governance keeps them from reversing — through renewals, team growth, and new tools added over time.

02

You run cloud infrastructure, AI APIs, or automation workflows.

These spending categories change every month. Without someone watching them, costs accumulate without anyone noticing until the invoice arrives.

03

Renewals are nobody's specific job.

If no one is assigned to watch renewal dates and usage trends, auto-renewals happen at the old rate every time — this service owns that watch for you.

Monthly review

What is reviewed each month.

Every monthly cycle covers the same core areas, with attention to what has changed since the previous review.

Cost and usage
  • Software license usage versus seat count
  • Cloud cost changes month over month
  • AI API and token spending by system or team
  • Cost anomalies and unexpected spikes
  • Duplicate platforms or overlapping tools
Renewals and new tools
  • Upcoming contract and subscription renewals
  • New tools introduced by teams since last review
  • Previously identified savings not yet implemented
  • Implemented savings verified against actual billing
Operations and automation
  • Automation health — failed or delayed reporting jobs
  • Private AI deployment health where applicable
  • Risk and issue register updates

Monthly

Monthly report delivery

Your monthly cost summary, renewal calendar, savings tracker, and recommended actions are delivered before the end of each calendar month.

Monthly

Monthly review call

A short call to walk through findings, answer questions, and confirm priorities for the coming month. You receive the agenda in advance.

Quarterly

Executive value review

A quarterly summary covering total savings realized, upcoming decisions, and the outlook for technology costs for the quarter ahead.

As needed

Urgent alerts

Cost anomalies, automation failures, or upcoming renewals requiring a decision within days are flagged immediately — not held for the next monthly report.

Your role

Client responsibilities.

For the monthly review to be accurate and useful, we ask that you:

  • Maintain our access to the billing and usage data needed for the review
  • Notify us when a new software tool or cloud account is added — so it can be included in the next review
  • Respond to questions or decisions within a reasonable timeframe, especially ahead of renewal windows
  • Attend or delegate attendance at the monthly review call

We do not need unrestricted access to your systems. Read access to billing and usage data is the primary requirement. Where a vendor does not support scoped read-only access, we work from exports or scheduled reports.

What this is not

Service boundaries, stated clearly.

Technology Cost Governance is focused on technology cost oversight. It does not replace:

Not included
  • Help desk or IT support — user issues, device troubleshooting, password resets
  • Endpoint management — device enrollment, patch management, MDM
  • Cybersecurity monitoring — threat detection, incident response, SOC services
  • Full managed IT services — this is not an MSP relationship
  • Unlimited software development — new applications or integrations are separate projects
  • 24/7 incident response — operational emergencies are outside scope

If you need any of the above, we can help you evaluate the right provider for those needs — that assessment would be part of a Checkup engagement.

Pricing

Monthly pricing tiers.

Starting prices by company size. Final pricing also reflects the number of systems in scope, cloud complexity, reporting volume, AI usage, and the level of support your business needs.

Ask about this tier
Mid-size businesses

20–75 employees

$1,500 / month

  • Everything in the smaller tier
  • Cloud cost monitoring
  • AI API and token spend tracking

  • Urgent cost-anomaly alerts
Ask about this tier
Larger businesses

75–150 employees

$2,500 / month

Broader system coverage, more vendor relationships, and higher cloud complexity. Pricing reflects additional scope — final fee confirmed after reviewing the systems involved.

  • Everything in the mid-size tier
  • Broader software and cloud system coverage
  • More vendor relationships in scope
  • Final scope confirmed before engagement begins

Employee count is a starting point, not the only factor. A 15-person business running complex cloud infrastructure may fall under a higher tier than a 60-person business with a simple software stack. We confirm final pricing after reviewing your actual systems.

Questions

Frequently asked questions.

Is this a managed IT service?

No. Technology Cost Governance is focused specifically on technology cost oversight: software licenses, cloud spend, AI API usage, vendor renewals, automation health, and cost anomalies. It is not a help desk, endpoint management service, cybersecurity monitoring platform, or full managed IT service. If you need those things, you need a different provider.

What is the difference between Technology Cost Governance and the Technology Cost and Automation Checkup?

The Checkup is a one-time engagement: it reviews your full technology spend, identifies savings opportunities, and delivers a prioritized written report. Technology Cost Governance is an ongoing monthly service that keeps that review happening continuously — it prevents waste from returning after the initial work is done.

What counts as a 'small fix' included in the monthly fee?

Small fixes are minor adjustments that take under an hour and don't require design, development, or system integration: updating an alert threshold, adjusting a scheduled report, correcting a small configuration error, updating a license inventory record, or making a minor dashboard adjustment. Larger changes are a separate project.

How is pricing determined?

The tiers shown are starting points based on employee count. Final pricing also reflects the number of software systems in scope, cloud account complexity, reporting volume, AI usage, and support expectations. If your situation is more complex than your headcount suggests, the fee reflects that.

Can I start without having done the Checkup first?

Yes, though the Checkup is the recommended starting point. It gives us a complete baseline of your technology spend, which makes ongoing governance significantly more effective. If you have done a recent internal review or have clear records already in place, we can assess whether a full Checkup is still needed before onboarding.

How much of my team's time does this require each month?

Typically one short review call per month, plus time to respond to any specific questions or decisions that come up. We prepare the agenda and materials in advance so your time in the review is focused on decisions, not on pulling together data.

What happens if I want to cancel?

The engagement can be ended with 30 days' notice. There is no long-term contract required. If you choose to end the engagement, all documentation and reports produced during the engagement remain with you.
